Privacy Policy

Last updated: 2 October 2026

BC Network is part of BackChat Group. This website, backchatnetwork.com.au, is run by BACKCHAT PTY LTD (ABN 53 658 108 831), a business based in Western Australia. In this policy, “BackChat”, “we”, “us” and “our” mean BACKCHAT PTY LTD.

BackChat also runs backchatgroup.com.au, backchatstudios.com.au and the backchat.shop store. This policy covers backchatnetwork.com.au only: what it collects, why, who else handles it and what you can do about it. We aim to handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

The short version

  • You can browse without telling us who you are, but our server, Google Analytics and some embedded services still receive technical details such as your IP address.
  • If you contact us or apply for a Good Stuff Only grant, we keep what you send and use it to reply to you or assess your application.
  • Voice messages go to SpeakPipe, a recording service. They are not stored on our website.
  • We use Google Analytics to see how the site is used, and you can block it.
  • We don’t sell your personal information. Questions or requests go to hello@backchatstudios.com.au.

What we collect and how

When you contact us

Our contact form asks for your name, email address, the reason you’re getting in touch (a partnership, pitching a show, or something general) and your message. We store your submission in a private area of the website that only administrators can access, and we email a copy to our inbox at hello@backchatstudios.com.au. If you email us directly, we receive whatever your email contains.

When you apply for a Good Stuff Only grant

Good Stuff Only is the Revo Community Grant. The written application asks for your club or organisation name, state or location, contact name, email address, phone number, what the grant would be used for and your story. You can also upload a photo.

Stories may mention other people, and personal or health circumstances. Only share what you, and the people involved, are comfortable with. Before you send a written application, the form asks you to tick a box. Ticking it means that, if your story is chosen, BackChat may share your club’s name, the names of the people involved, a short version of your story and any photo you sent, on BackChat’s website and social media, including posts shared with Revo Fitness. If your story mentions a child, ticking the box also confirms that their parent or guardian is happy with this. We keep a record of when you ticked the box and the wording you agreed to (see “Grant winners and people on the site” below).

We store your application details in the same area of the website as contact enquiries, which only site administrators can access. Any photo is saved in a private folder on our website server that can’t be reached from the internet, under a random file name rather than your original one. Only site administrators can open it, and only after logging in. When we save it, our system automatically removes hidden details the photo may carry, such as when and where it was taken and the camera used. If that ever can’t be done, the photo is still kept private.

Each application is emailed to our inbox at hello@backchatstudios.com.au and to a second email address, a Gmail account hosted by Google, that is also set up to receive grant applications. We send you an automatic email to confirm we received it.

How our forms stop spam

Both forms reject submissions sent from other websites. To limit how often one person can submit, they also create a scrambled (hashed) code from your IP address and email address, which is deleted automatically within about a day. We don’t store your IP address with your enquiry or application.

When you send a voice message

Two pages let you record a voice message using SpeakPipe, a third-party recording service:

  • the Good Stuff Only page, if you choose to tell your story out loud; and
  • The 4WD Podcast page, where listeners can send the show a question, tip or opinion. Messages may be played on the show, which is published on podcast and video platforms.

Your recording, and anything else the recorder asks for, goes straight to SpeakPipe and is stored on its service, not on our website. When the recorder loads, SpeakPipe receives your IP address and browser details and may use cookies. On the Good Stuff Only page it loads only when you choose to record or follow a link to the recorder (or, if JavaScript is switched off, as you scroll to it). On The 4WD Podcast page it loads as you scroll to it.

We are still confirming who holds each SpeakPipe account and receives its recordings, so we may not be able to find or delete a recording ourselves. If you want a recording removed, email us and we’ll tell you what we can do.

Grant winners and people on the site

We celebrate Good Stuff Only winners publicly. Our website and social media, including posts shared with Revo Fitness, show winning clubs, the names of people involved, a short version of their story and any photo they sent. The site also shows the names, roles, photos and bios of our founders, team and show hosts. If you’re featured and want something changed or removed, email us and we’ll review it.

When you browse the site

Like most websites, ours records technical details when you visit: your IP address, browser and device, the page you asked for (including anything you type into site search), the page you came from and the time. Our hosting server keeps these in its logs. Our security software, Wordfence, also records the IP address and username used in login attempts, and details of requests it blocks, so it can stop attacks.

The site doesn’t offer public accounts, a comment form, a newsletter or online payments. Merch is sold on backchat.shop, a separate store that this policy doesn’t cover.

Why we use it

  • To reply to enquiries, including partnership enquiries and show pitches.
  • To assess grant applications, contact applicants and announce winners, including a short version of each winning story.
  • To receive voice messages, including grant stories and listener messages that may be played on a show.
  • To run, secure and fix the website, and to stop spam and attacks.
  • To understand how people find and use the site, so we can improve it.
  • To meet our legal obligations.

We don’t sell your personal information, and we don’t use your enquiry or application to send you unrelated marketing.

Cookies and analytics

Google Analytics

We use Google Analytics 4 on the site’s public pages. It records the pages you view (the full web address, so search terms and form confirmation pages are included), the site you came from, your device, browser, screen size and language, an approximate location Google works out from your IP address, and how you engage with pages. Depending on our settings, it may also record scrolling, clicks to other sites, file downloads, form interactions and video plays.

Google Analytics sets first-party cookies on backchatnetwork.com.au, usually named _ga and _ga_EYJJ27Q7WP, to tell visits apart. By default they last up to two years. We don’t send the names, email addresses or messages you type into our forms to Google Analytics, and we don’t use it to identify you.

To stop Google Analytics, install the Google Analytics Opt-out Browser Add-on or use a content blocker. Blocking or deleting cookies limits how your visits are linked together. Google explains how it uses this information in How Google uses information from sites or apps that use our services.

Other cookies

Apart from Google Analytics, our site doesn’t set cookies when you browse public pages. The exceptions:

  • Password-protected pages. If you enter the password for our protected proposal page, WordPress stores a coded version of it in a cookie that lasts only until you close your browser.
  • Site staff. People who log in to manage the site get standard WordPress login cookies.
  • Embedded services. YouTube, SpeakPipe and Instagram may set or read their own cookies when their content loads.

Content from other services

  • YouTube (Google). Episode thumbnails load from YouTube’s image servers, so Google receives your IP address and browser details. Videos don’t load until you press play. We use YouTube’s privacy-enhanced mode, but once a video plays, YouTube may use cookies or similar technology under its own policies.
  • Adobe Fonts. Every page loads our fonts from Adobe, so Adobe receives your IP address and browser details. Adobe may use these requests to count font use for licensing.
  • Instagram (Meta). Posts in the Good Stuff Only winners gallery load as you scroll to the gallery, so Instagram receives your IP address, browser details and any Instagram cookies your browser already holds. We don’t send Instagram the address of our page.

Who else handles your information

These providers handle personal information for us:

  • Cloudways, on DigitalOcean infrastructure: hosts the website, its database and its logs on a server in Sydney, Australia.
  • SMTP2GO: sends the site’s emails, including enquiries, grant applications, applicant confirmations and security alerts.
  • Email providers: hold copies of enquiries and applications in the inboxes that receive them, including Google for the Gmail account that receives grant applications.
  • Wordfence: security software. Its security network may receive technical details of suspicious activity, such as the IP address behind a failed login.
  • Revo Fitness, the Good Stuff Only sponsor: winner posts are shared with it on social media.
  • Our website developer: builds and maintains the site and its server, has administrator access to it, including stored enquiries and applications, and receives its security alerts.

These services receive information directly from your browser when their content loads, and use it under their own policies:

  • Google (Google Analytics and YouTube), Adobe (Adobe Fonts), SpeakPipe (voice messages) and Instagram (Meta) (winner posts), as described above.

We may also disclose personal information where the law requires or allows it.

Overseas

Our website server is in Sydney, but several of these providers are based overseas or use servers outside Australia, so your information may be stored or processed in other countries. For Google, that includes the United States. We are still confirming the countries our other providers use, including SMTP2GO, which carries the full content of enquiries and applications. Each provider’s privacy policy explains where it handles data, and you can email us for more detail.

How long we keep it

We don’t yet have a fixed deletion date for enquiries or grant applications, including any grant photo. Records stay until we delete them or you ask us to. You can ask us to delete yours at any time. Deleting a record from the website doesn’t remove copies already sent by email or held in our server backups.

The spam-protection codes are deleted automatically within about a day. Google Analytics keeps data for the period set in our account. SpeakPipe and our other providers keep data under their own policies. If your voice message is played on a show, it stays in that published episode. Published winner stories stay up until we update the page.

How we protect it

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, change or disclosure. For example:

  • the whole site runs over an encrypted (HTTPS) connection;
  • enquiry and application details are stored in an area of the website that only site administrators can access;
  • a security firewall and login protections guard the site; and
  • our forms have spam and abuse protection.

No website is completely secure, so we can’t guarantee it.

Access, correction and deletion

You can ask what personal information we hold about you, and ask us to correct or delete it. Email hello@backchatstudios.com.au with enough detail for us to find it, such as when you contacted us, applied or sent a voice message. We may need to confirm your identity first. We’ll respond within a reasonable time, and if we can’t do what you ask, we’ll tell you why.

Children

This site is for a general audience, and none of our forms ask for your age. Grant stories sometimes involve children, such as junior players. If your application mentions a child, please make sure their parent or guardian is comfortable with that. If you’re a parent or guardian and want details about your child changed or removed from the site, email us.

Links to other sites

The site links to places we don’t control, such as Spotify, Apple Podcasts, YouTube, Patreon, Megaphone, social media, sponsor websites, backchat.shop and the other BackChat websites. They have their own privacy policies, and may see that you came from our site.

Complaints

If you’re unhappy with how we’ve handled your personal information, email hello@backchatstudios.com.au and tell us what happened. We’ll look into it and reply within a reasonable time. If you’re not satisfied with our response and the Privacy Act 1988 (Cth) applies, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes to this policy

We’ll update this policy when the site, our providers or our practices change, and publish the new version on this page with a new date. This policy is governed by the laws of Western Australia and applicable Commonwealth law.
